Academic Regulations
Class Schedule:
- Each study term lasts for 4 weeks (Monday to Friday); each class runs for 40 minutes with a 10-minute break between sessions; special elective classes are scheduled from Monday to Thursday. (The number of classes may vary depending on the structure of each program).
- If a student is the only attendee in a group class, 2 group classes will be converted into 1 private 1:1 class. This means you will have a total of 5 1:1 classes.
- Students are not permitted to study outside of the school campus and must only study in designated locations.
- Students arriving 5 minutes late will be marked absent; in such cases, the teacher has the discretion to either conduct or cancel that session.
- If a teacher is absent or late by more than 10 minutes, a substitute teacher will cover the class. However, no substitute classes or refunds will be provided if a special class teacher is absent.
- Students with 10 total absences (including excused absences) will be disqualified from taking the QE (Level Up Qualifying Exam).
- If a student leaves before the end of their course due to personal reasons, they will not be permitted to reschedule or front-load their classes.
- The refund policy does not apply to classes canceled due to natural disasters.
- No classes will be held on official holidays or special non-working days in the the Philippines.
Class Schedule Adjustments:
- Class schedules change once every 4 weeks. Schedules for students enrolling mid-term will adjust after 2 weeks, following standard timelines (e.g., enrolling in week 2 means a schedule change after 3 weeks; enrolling in week 3 means after 2 weeks; enrolling in week 4 means after 1 week).
- Students are required to attend all scheduled classes (morning pronunciation, 1:1 classes, 1:5 group classes, special classes, self-study periods, and exams). If a student must be absent, they must present and submit an Excuse Slip to the management office before the class begins. If unable to visit the office physically, the student can message their manager and request a nurse check-up. THE EXCUSE SLIP MUST BE SUBMITTED BEFORE THE CLASS STARTS.
- No adjustments to teachers or classes will be made until the current 4-week term ends.
- Special classes and other extracurricular activities are subject to change.
Certificates:
- Certificates of Completion are issued only to students who maintain at least 90% attendance and have not faced suspension during their study term.
- If a student loses their certificate, the academy can reissue it. The student will cover the shipping and reissuing costs. The reissuing fee is $40, plus international courier shipping rates (calculated separately).
Exams & Tests:
Daily Vocabulary Tests (Voca Test) are mandatory for all students. Time: 20:00 - 20:15 daily. Test rooms are assigned by the school.
Mandatory Mock Tests for Exam Prep courses: Students must sit for a mock test once every 2 weeks.
Information regarding the vocabulary tests (daily from Monday to Thursday and weekly summaries) will be posted on the announcement board.
Morning Pronunciation and Special Classes:
Assigned teachers for morning pronunciation classes, special classes, and the detailed curriculum are posted on the announcement board.
Lifestyle & Living Regulations
Security Deposit:
Students must submit a security deposit of 3,000 PHP for the entire study duration.
Local Fees:
Local fees differ between HELP Clark Campus and HELP Baguio Campus.
Unit: Philippine Peso (PHP)
- Air conditioning utility fees are not included in the standard local fees.
- During orientation, students must complete registration documents and submit them alongside a 5x5 cm photo.
- If a student exits and re-enters the Philippines, the visa extension cycle will reset back to the first extension rate.
- If students wish to handle their own visa extensions, they must fill out a request form and obtain confirmation from the administrative staff. The school will not accept responsibility for any visa issues that may occur.
- Late visa renewals will incur penalty fines, and the student will bear full responsibility.
- For tourist visas, students must submit their onward ticket and travel itinerary during the first Sunday of their study program.
Roll Call & Attendance Check:
- Fridays and Saturdays: Roll call is at 24:00; Sundays: Roll check is at 22:00.
- The roll call check lasts 15 minutes, during which no student is permitted to leave their room until completion is announced. Violators of this rule will be restricted to campus (gated) for 1 week.
- The main gate will be locked during the room-to-room roll call check.
- If a student returns late after the room roll call has started, they must wait in the main lobby until the roll call check is fully complete.
Curfew & Return Hours:
- Students are not permitted to go outside on weekdays (Monday to Friday).
- On Saturdays, students may go outside starting from 06:00 AM and must return before 24:00 (midnight).
- On Sundays, students may go outside starting from 06:00 AM and must return before 21:00.
- If traveling over the weekend, students must return by 22:00 on Sunday. Any adjustments to the return time must be approved in advance by a student manager.
'English Only Policy' (EOP):
- Students must speak English exclusively within the academy campus from 07:00 to 19:00 at Clark.
- Managers, student coordinators, and teachers will actively monitor and enforce compliance with this policy.
Wearing Student ID Cards:
- Students must wear their student ID card from 07:00 to 18:00 on weekdays (except weekends).
- Failure to wear the ID card during these hours will result in a fine.
- Students must surrender their ID card to security when leaving the campus.
- When borrowing sports equipment, students must leave their ID card at the office (retrieved upon returning the equipment).
- Managers will check student ID cards during utility bill payments or visa renewal transactions.
Meal Times:
- Breakfast: 07:00 - 08:00; Lunch: 11:40 - 12:20; Dinner: 17:20 - 18:00.
- Saturdays: Brunch is served from 10:00 to 12:00.
- Sundays and public holidays: Brunch is served from 10:00 to 12:00, and dinner is served from 17:00 to 18:00.
- Any adjustments to these times will be announced in advance.
Laundry Service:
- Laundry service is provided 3 times a week (12:00 - 13:00 on Mondays, Wednesdays, and Fridays).
- Students are highly encouraged to hand-wash expensive garments and undergarments.
- When dropping off laundry, students must inspect their items alongside the laundry staff, record the item count on the receipt, and keep one copy for verification upon pickup.
- To retrieve laundry, students must present their receipt. Please inspect items immediately upon receipt to prevent loss or disputes. The laundry service will not accept responsibility for missing or lost items if the student fails to produce the receipt or inspect the items at pickup.
- Laundry weight under 1 kg will be rounded up and calculated as 1 kg.
- Each student has a laundry allowance of 16 kg per term. Any weight exceeding this limit will incur an excess fee of 90 PHP per kg. We advise taking photos of your laundry slips to verify total weight at the end of the term in case of discrepancies.
Use of Outdoor Wooden Tables and Benches:
- Students will be fined 100 PHP if they fail to clean and wipe down tables and benches after dining.
- Using outdoor seating after 23:50 will result in a 1-week campus restriction penalty.
Purchasing Textbooks:
- Students can purchase textbooks at the office from 09:00 to 17:00, Monday to Friday.
- Textbooks for the first term of study will be distributed on the evening of Orientation Day (for new students).
- Students are required to buy the official textbooks used in their classes.
Printing, Copying, and Scanning:
Students can print for 5 PHP/page, and copy or scan for 2 PHP/page at the 1st-floor reception desk (weekdays only).
Personal Belongings & Equipment:
- Lockers are provided for each student in their respective rooms. However, students should purchase their own padlocks.
- Students are solely responsible for securing their personal valuables. The academy accepts no liability for lost or stolen items.
- If campus property or equipment is damaged due to student negligence, the student will be required to pay for repairs or replacements.
- Losing a room key will incur a replacement fee of 1,000 PHP to install a new lock.
Dormitory Rooms:
Entering other students' rooms without authorization is strictly prohibited and subject to penalty.
Child Protection (No Interaction with Minor Students):
- No unauthorized contact, communication, talking, or physical touch.
- Do not buy food for, lend items to, or share electronic devices (laptops, phones) with minors.
- Hanging out with, enticing, or developing romantic feelings toward minor students is strictly prohibited.
- First-time violators will receive a formal warning incident report and 2 weeks of campus restriction. A second offense will result in another warning report and 3 weeks of campus restriction. A third offense will result in immediate expulsion.
- Interaction is only permitted in emergency situations affecting immediate health and safety.
Housekeeping Schedule:
- Students may request room cleaning up to 2 times per week.
- Room cleaning requests must be submitted at least 1 day in advance.
- Mondays to Thursdays: 2nd-floor housekeeping; Tuesdays to Fridays: 3rd-floor housekeeping.
- If the student is absent when housekeeping arrives, the cleaning staff will wait for 5 minutes before moving to the next room. In such cases, the cleaning session is deemed completed.
Travel & Overnight Stays:
- New students are not permitted to stay overnight outside the campus during their first weekend.
- Students planning weekend travel must submit a detailed itinerary to management by 17:00 on Thursday.
- If requesting weekday travel, the itinerary must be submitted by Thursday of the preceding week.
- Travel must be outside the city borders. Falsifying travel details will result in a 3-week campus restriction, and subsequent travel requests will be denied.
- Students must submit vacation photos featuring identifiable landmarks of the destination within 3 days of return. Failure to comply will result in a 2-week campus restriction.
Lights Out & Lockup:
- All campus lights (except inside dorm rooms) are turned off at 24:00 (midnight). Students must not leave their rooms after this time.
- After 24:00, students must return to their own rooms. Students caught wandering the campus corridors or common areas after midnight will face a 1-week campus restriction.
Insurance Extensions:
Students must monitor their travel insurance policies and arrange for extensions as needed. The academy accepts no liability for uninsured students.
Student General Assembly Meetings:
The general assembly meeting is held at 17:15 every Friday. Failing to attend or missing roll call during the meeting will result in a 100 PHP fine.
Utilities (Electricity & Water):
Utility costs differ across campuses. Please refer to the attached documentation for detailed rate breakdowns.
Security Deposit Refunds:
Students will receive their security deposit refund, minus any outstanding utility bills or fines, one day before graduation. If graduating over the weekend, refunds will be processed on Friday.
Food Delivery Services:
- Students may use food delivery services until 23:00 daily.
- Delivered food must only be consumed in the dining hall or outdoor seating area. Eating inside dorm rooms or classrooms is strictly prohibited.
- Students are not allowed to borrow dining hall utensils, chopsticks, or cups. These items may be purchased at the school convenience store.
- Ordering delivery after 23:00 will result in a 1-week campus restriction (only 1 weekend day outing permitted).
- If food arrives after 23:00, accepting it will result in a 1-week campus restriction.
- Consuming delivered food after 23:00 will result in a 1-week campus restriction.
Extending Dormitory Stay:
If you need to extend your stay on campus after graduation, an additional fee of 2,000 PHP per day (full board included) applies.
Postal & Courier Services:
Wireless Internet (Wi-Fi):
The school provides open Wi-Fi networks across the campus.
Inter-Campus Transfers:
The academy operates 2 campuses: Baguio and Clark. Students are permitted a one-time transfer to the other campus. Once a transfer is processed, you cannot return to your previous campus. If wishing to transfer to the Longlong campus for advanced courses, students must sit for the qualifying exam during the third week of their current study term.
